1. Purpose
This Policy establishes Juvra’s ethical, transparent, and responsible approach to developing and deploying AI-powered systems. It ensures that all AI activities align with applicable regulations, international best practices (OECD AI Principles, NIST AI Risk Management Framework), and client trust standards.
2. Scope
This Policy applies to all Juvra employees, contractors, systems, and tools that involve AI development, deployment, or decision support.
3. Core AI Principles
Juvra’s AI operations are guided by the following principles:
– Accountability: Human oversight and responsibility are maintained at every decision stage.
– Transparency: Users are informed when AI is used in any product or service.
– Fairness: Models are designed and tested to reduce bias and ensure equitable outcomes.
– Privacy: AI systems respect user data rights and comply with privacy laws.
– Security: AI systems undergo ongoing risk assessments and technical safeguards.
– Reliability: Outputs are validated, explainable, and subject to human review.
4. Human Oversight & Review
- All AI outputs provided to clients are verified by a qualified human reviewer before use.
- Automated legal content is never binding without human confirmation.
- The Responsible AI Committee monitors all oversight procedures and audits compliance.
5. AI System Design & Evaluation
All AI models must:
– Undergo pre-deployment risk assessments for data quality, bias, and misuse;
– Include explainability mechanisms for key outputs;
– Document versioning and training data lineage;
– Be reviewed annually for performance and accuracy drift.
6. Data Governance & Ethical Use
- AI systems process Client Data only under approved agreements such as the Data Processing Agreement and Privacy Policy.
- No Client Data may be used for external model training.
- Datasets used for AI development must be documented, licensed, and auditable.
7. Responsible AI Committee
Juvra’s Responsible AI Committee shall:
– Approve all new AI deployments;
– Oversee bias testing and audit logs;
– Maintain documentation of model decisions and updates;
– Ensure alignment with this Policy and applicable ethical standards.
8. Incident Response & Redress
If AI systems cause or contribute to an error, bias, or misuse:
– The incident must be reported to the Responsible AI Committee and Security Officer within 24 hours.
– A root-cause analysis will be performed, and corrective measures implemented.
– Users will be notified when required by law or policy.
9. Employee Responsibilities
All employees must:
– Complete annual AI ethics and compliance training;
– Escalate AI-related risks or ethical concerns through internal channels;
– Obtain approval before deploying or materially changing AI systems.
10. Continuous Improvement
This Policy is reviewed annually and updated to reflect evolving regulations and AI governance standards.
